ROLE DESCRIPTION – SOCIAL COMMITTEE CHAIR

PROBUS CANADA MISSION:

Provide regular monthly and other gatherings (events) for retired and semi-retired individuals who appreciate and value opportunities to meet with others of similar interests.

PROBUS CANADA OVERVIEW:

Probus is a volunteer-based, non-profit, non-political, non-sectarian fellowship organization with over 4,000 clubs worldwide (250 in Canada with 35,000+ members). Focused on promoting healthy minds and bodies in a venue of socializing, with other retirees in the communities.

ROLE TITLE: Social Committee Chair    NAME: Luci Hubbard             ROLE TENURE: 2 years

Note: Chair may as necessary, solicit additional resources to facilitate project / event completion

ROLE OVERVIEW:

Leads in the Planning, Organizing and Execution of social gatherings in concert with other team members. From concept to completion, these include but are not limited to: parties, meetings, tours, special events and other venues to ensure a memorable member (300) experience.

  • Communication: Work within and across a team of volunteer retirees (8 -12)
  • Event Planning: Organization, time management, interpersonal, negotiation
  • Technology: basic Microsoft office / computer
  • Budget and Expense Management: Basic
  • Teamwork: Work within and across a team of volunteer retirees (8-10)

RESPONSIBILITIES:

  • Research: Sourcing venues / caterers / entertainment / prizes / flowers etc.
  • Budget and Financial Management: Manage and track expenses in alignment with budget parameters / advise Treasurer
  • Promotion: align events with Newsletter releases / monthly general meeting ticket sales
  • Implementation and Co-ordination: monthly luncheons / special events / ad hoc programs / bus tours including fees and venues
  • Vendor Management: Logistics and execution – liaising and co-ordination with 3rd party vendors for approved events and set – ups / deadlines / expenses / meals / entertainment / manage last minute changes
  • Resources: Secure and manage additional team (volunteers) to support programs / events
  • Post Analysis: review “events” / advise of successes and potential future modifications
