MARKHAM PROBUS CLUB
ROLE DESCRIPTION – SECRETARY

PROBUS CANADA MISSION:

Provide regular monthly and other gatherings (events) for retired and semi-retired individuals who appreciate and value opportunities to meet with others of similar interests.

PROBUS CANADA OVERVIEW:

Probus is a volunteer-based, non-profit, non-political, non-sectarian fellowship organization with over 4,000 clubs worldwide (250 in Canada with 35,000+ members). Focused on promoting healthy minds and bodies in a venue of socializing, with other retirees in the communities.

ROLE TITLE: Secretary            NAME: Myra Chepak                  ROLE TENURE: 2 years

ROLE OVERVIEW:

Responsible for attending and participating at monthly Leadership Meetings in order to complete accurate note taking / minutes. Maintain an up to date understanding of Club direction, events and activities, to ensure tone and content of final minutes draft is in compliance with the Markham Probus Club mandate in support of the 300 members.

PRIMARY SKILLS:

  • Knowledge: Strong understanding of Club activities to ensure accurate records
  • Communication: Excellent listener / good verbal, written and word processing capacity
  • Organization: Attention to detail / ability to encapsulate thoughts and verbiage into a cohesive set of minutes / manage the filing (and retrieval as necessary) of minutes
  • Service: Customer service attributes (flexible and adaptable)
  • Collaborates within and across a team of volunteer retirees (8-10) to successfully implement the Probus mission.

RESPONSIBILITIES:

  • Recording: attends at monthly Leader meetings to present previous months minutes for approval / participates in active discussions and in the moment – writes current minutes from attendee discussions / asks for clarifications and interpretations to simplify information as necessary
  • Assimilation and Summarizing: takes rough meeting notes / allocates focused time to collate and re-write, to ensure the final compilation maintains the focus of thoughts and salient points of discussions
  • Finalization: Compiles final minutes for review and approval by Co- Presidents / forwards approved minutes to filing system / acts as custodian of meeting minutes
